Joining a Teams Meeting as an Organizer

  1. Join a Teams meeting from the device you are using. Do not remote into your office PC and try to use Teams from there because you will not be able to use your local device’s audio and video.
  2. Log into Teams before you join your meeting, otherwise you may be joining the meeting as a Guest instead of as an invited person.
  3. The best way to join a Teams meeting is by using Teams (app or browser version).

From Outlook (Desktop version) Calendar

  1. Open meeting invite.
  2. Select Join Teams Meeting button on the Meeting menu (see Figure 1) or click on the Join link in the body of the invite.
  3. If you have the Teams app installed on your computer, it will open.

From Outlook (Web version) Calendar

  1. Go to Calendar and locate the meeting.
  2. Click on “Join Teams Meeting” on meeting card or open meeting and click on Join Teams Meeting.
  3. You will be prompted to continue in browser, download the desktop app if you don’t have it, or open the Teams app if you already have it. (See Figure 2.)
    • If you don't already have Teams installed and it is time to join the meeting, then just select Continue on this browser.
    • If you want to use the Teams app, make sure you are already logged into it before you make this selection.
  4. You will be taken to the version of Teams you select and will arrive at the choosing audio and video settings screen.

From Teams Calendar

  1. Go to Calendar. If you do not see the Calendar icon, click the three dots and it should be there. (See Figure 3.) Locate the meeting.
  2. Click on the Join button on calendar entry or open entry and click the Join button.
  3. You will go directly to choosing audio and video settings screen. (See Figure 4.)

  1. Choosing Audio and Video Settings (See Figure 4.)
    1. If you have a microphone installed on your device you can activate it or deactivate it on this screen.
    2. If you have a camera installed on your device you can activate it or deactivate it on this screen.
    3. If you want to use your phone to dial in, make sure the audio option is disabled on this screen.
  2. Click Join Now.
  3. If you are dialing in
    1. Mute the speakers on your computer.
    2. Dial the phone number in the invitation. (See Figure 5.)
    3. Enter the meeting ID in the invitation when prompted. (See Figure 5.)
    4. Identify yourself as the organizer when prompted and then enter your PIN (from the Microsoft email).
      1. If you do not remember your PIN, hang up and go back to the meeting invite. Click on the Reset PIN link and follow the instructions. (See Figure 5.)
    5. After entering your PIN you will be connected to the meeting.
  4. Other attendees using their devices microphone and speakers will be able to enter the meeting without any assistance from you.
  5. Other attendees dialing in are placed in a virtual lobby and you must let them in. When an attendee arrives in the lobby you will see a pop-up allowing you to let them in. (See Figure 6.) Alternatively, you can Show Participants and manage the lobby from there. (See Figure 7.)
